About the Role
HireKayana is looking for an Executive Operations Partner — a chief-of-staff-in-the-making who sees what needs doing and does it before being asked. You'll be the CEO's second brain and operating layer: driving pipeline, staging decisions, protecting time and attention, and keeping every key relationship warm. You own outcomes, not errands.
What you'll own
• Business development (lead): Source, research, and follow through on B2B opportunities. Keep HubSpot the honest source of truth — no warm lead goes dark.
• Executive leverage: Stage and clear the CEO's decisions so he's never the bottleneck. Each one arrives as Context → Options → Recommendation → Ask, decidable in two minutes.
• Relationship intelligence: Maintain a living map of investors, prospects, partners, and VIPs. Every meeting comes with a "who, why, last touch" brief.
• Operating rhythm: Run the daily packet, decision log, calendar, inbox, travel, and events — and capture how we work into reusable SOPs.
• EOS administration (Phase 2): Grow into running the operating system alongside our Integrator: Level 10 prep, Scorecard, Rocks, Issues, and To-Dos chased to done.
What we're looking for
• Initiative - You build from nothing and treat the seat like your own venture.
• B2B business development - You've personally moved a pipeline — sourcing, qualification, follow-through.
• Relationship intelligence - You track who matters and why, so the CEO doesn't carry it in his head.
• Ownership - You sweat the details and close the loop without being chased.
• Clear writing and calm discretion - Short, factual, decision-ready — and trusted with sensitive information.
Bonus, not required
• VC, PE, or executive-office background.
• AI fluency, Claude preferred — we'll build the muscle with the right person.
• EOS/Traction and HubSpot experience.
How we work
We're an AI-forward shop: you'll use AI every day to draft to altitude, then apply judgment. You'll deliver against published gold standards — "match the example," not "read my mind." When you're blocked, you surface it, propose a path, and keep moving. You never go quiet.
If you want to be the operating partner behind a founder building something real — and grow into a chief-of-staff-caliber operator — this is your seat.
