About the Role
We're looking for a detail-oriented Accounts Receivable Clerk to embed inside a US-based finance team and own the execution layer of an established collections process. This is not a generic AR role—the work sits at the intersection of structured customer outreach, phone-first collections, and clean follow-through on past-due accounts. You'll run plays from a process that already exists, taking real volume off the collections lead so the process gets executed end-to-end and customers who used to go uncontacted are being reached. As a full-cycle AR and collections operator, you'll own accurate invoice generation, clean customer reconciliations, and direct outbound communication on past-due balances—managing multiple billing workflows simultaneously and owning the cadence on collections calls as an embedded member of the finance team.
What You'll Do
• Make outbound collection calls to customers with past-due balances (plan for roughly 1–2 hours of call time per day, broken up across the shift)
• Have real conversations, not scripts—lead with kindness, listen for context, and resolve where possible
• Send email follow-ups for accounts that prefer written communication or aren't reachable by phone
• Confirm customers are receiving their invoices and that nothing was missed on the billing side
• Run the full collections cadence: 60-day past-due notifications, mid-month follow-ups, and end-of-month follow-ups against an established schedule
• Prepare the close-of-month picture and escalate accounts that warrant an extension or judgment call
• Log every call, document payment commitments, and track promised payments through to receipt—following up when commitments slip
• Investigate disputed invoices and route them to the right person on the team
• Support the AR team on invoicing tasks, month-end reconciliation, and account clean-up as volume requires
• Flag patterns: customers who are always late, recurring disputes, or billing setup issues that create downstream collections work
• Send a morning update with the day's planned outreach and an end-of-shift update with call outcomes, commitments captured, and what's outstanding
• Keep the AR queue visible so the team can always see where things stand without asking
What We're Looking For
Non-Negotiables
• Experience in accounts receivable, collections, and customer billing workflows
• Strong communication and follow-through skills
• Genuinely comfortable with the phone (1–2 hrs of calls per day)
• High attention to detail and account accuracy
• Comfortable managing difficult payment conversations professionally
• Ability to prioritize and manage multiple accounts simultaneously
Preferred Qualifications
• NetSuite experience (any module, but AR especially)
• Experience running structured collections cadences (30/60/90+ day buckets)
• Familiarity with documenting payment commitments and following them through to receipt
• Working knowledge of basic AR and revenue recognition principles
• Bachelor's or Associate's degree in Accounting, Finance, Business, or a related field (or equivalent experience)
• 1–3 years of AR, billing, or collections experience
• Prior experience working remotely with US-based finance teams
• Background in property services, multi-location operations, or similar industries (a plus, not a requirement)
