About the Role
We're looking for an analytical, detail-oriented AR Reconciliation & Deductions Specialist to join the accounting team of a fast-growing remanufacturing business. The work centers on high-volume AR reconciliation and discrepancy resolution across hundreds to thousands of customer accounts.
This is not routine payment posting. You'll work through an ongoing reconciliation backlog, match credits to customer deductions, research why accounts don't tie out, and bring them back into balance inside a complex ERP environment. Your work directly improves cash flow accuracy and frees leadership to focus on strategic oversight.
This is a long-term, growth-oriented role with cross-training opportunities across AR functions.
What You'll Do
• Reconcile high-volume return loads (such as truckloads of returned cores) and match issued credits to customer deductions
• Investigate discrepancies when credits don't tie out to deductions, and research the root causes of short payments and mismatches
• Work with Sales and the AR team to resolve variances and make sure transactions clear properly in the ERP
• Process, apply, and post payments accurately, including manual credit card payments within the ERP when needed
• Assist with refunds and repayment processing, and support backlog reduction during system transitions
• Review and clean up aging AR balances, follow structured collections processes, and monitor open core returns
• Keep accounts in balance and maintain accurate documentation for audit readiness
• Collect and manage tax exemption certificates
• Support standardized AR procedures and documentation improvements
• Communicate with large customers through vendor portals
As the Role Grows
• Cross-train across AR functions and serve as AR backup support
• Take on payment posting and refund management
• Build broader account ownership as the team expands
What We're Looking For
Non-Negotiables
• 2+ years of experience in accounts receivable, accounting, or a high-volume transactional environment
• Strong Excel skills, including VLOOKUPs, filtering, sorting, and data comparison
• Strong analytical and reconciliation skills, with comfort researching discrepancies
• High attention to detail in high-volume work
• Self-starter who can work through a backlog independently while knowing when to ask questions
• Comfortable working through system limitations
• Strong internal communication skills and a positive, collaborative approach
Preferred Qualifications
• Experience with payment reconciliation or deduction management
• ERP experience (Sightline is used; training is provided and prior experience is not expected)
• Experience with collections, aging reduction, or refund processing
• Familiarity with tax exemption certificates and audit documentation
• Manufacturing or remanufacturing experience (a plus, not a requirement)
